How to Create New Contacts in HubSpot

This article will walk you through the steps of creating new contacts in HubSpot and ensuring they are added to the proper lists once created

Any person who interacts with your business can be added to your HubSpot contact database.

All contacts converted through the website or automation will be automatically added as a contact. However, we need to manually enter those contacts that came through offline sources.

Once the contact is created in HubSpot, we'll want to make sure they are added to the proper lists.

Here are the steps to creating a new contact in HubSpot:

1. Log into your HubSpot account

2. Navigate to the left side panel: CRM > Contacts

3. In the top right corner, click "Create contact"

4. Enter all the information of the new contact in the form that pops up on the right

Fill out the contact's email, first name, and last name:

Please note: it's not recommended to add contacts to HubSpot without an email address because HubSpot uses the email address as a unique identifier for contacts and to automatically associate contacts with companies.

Then proceed to fill out the following fields:

  • Contact owner
  • Job title
  • Phone number - enter the extension as well if available
  • Lifecycle stage - choose the proper option for the contact
  • Lead status - choose the proper option for the contact

Please note: you can customize the new contact form (as shown above) fields to meet your specific needs. For example, you can add "company name", "original source", and other fields you'd like to show on the new contact form. To do that, hit "Edit this form" in the top right corner.

How do I make sure the new contact is added to the proper list then?

To make sure the new contact you created is added to the proper list, we need to make sure we enter the proper value for each property that is currently used in the specific list when we fill out the new contact form. These properties could vary between different lists, so it's important to review your lists and understand what filters it has.

Generally, you should follow these steps:

1. Review the specific list you want the new contact to be in

2. Document the filters this list has

3. Make sure the properties these filters are using get added to the new contact form

4. Enter the correct value (the value that is used in the list) for each property, so that once the contact is created, it'll be automatically pulled into the specific list due to the matching properties

5. Once you've filled out all the fields on this form, hit the "Create" button at the bottom of the form

Congrats! You've created a new contact in HubSpot.
