A step-by-step guide to connect UKG to HubSpot and set up your first connections.
Once a new partner has signed up for Integration Pass, you are going to want to get started with their onboarding process.
What to add in Integration Pass
Partner User
While logged in as an admin, you will want to click on the "Create Partner" button. Input all of the required information.
You will want to confirm the email address that the partner wants to use.
Set a generic password like Partnername@1234. Click on "Submit" to save the information you have added. Once done, impersonate the user to begin setting things up.
API Info
Once the partner is created, you will want to add their API info for UKG. From the partner you are going to need the following information:
- Company - This is the admin company short name.
- Username - The username of the API user
- Password - The password for the API user
- API Key - The API key we are able to pull from UKG.
Once you have all of these, add them to the UKG app screen and click on "Test Connection" to verify that it is all correct. Once done, click on "Submit" to save the information that has been added.
CRM Info
To begin adding the CRM info, you will want to go to the apps screen and select the CRM that the partner is using. You will want to choose and confirm the CRM that they are using.
Once done, click on the eye icon next to the CRM name. This will let you click into it and begin adding your CRM.
Once done, you are ready to begin preparing the CRM to receive the data from UKG.
Carry Over Properties & Automation
Prior to actually creating any connections in Integration Pass, you will want to use the HubSpot to HubSpot integration to carry over the data you are going to need.
You will want to use two templates saved in the admin account. The first is called Integration Pass Properties and the second is called Integration Pass Contact Automation.
Integration Pass Properties contains the list of properties that we typically see companies using in their initial syncs.
Integration Pass Contact Automation includes the contact properties, workflows and lists used to keep marketing contact information up to date. Once you run both of these, all of the necessary properties should be in the partner's HubSpot account.
Building Connections
Once you have connected both apps, you are ready to begin building the MAD standard connections. Please see this article to get started.
Once you have created all of the standard connections, you will want to review these with the partner prior to turning them on.
Here, you will be able to gain insight into if they want to see anything else added to any of the syncs.
After the partner confirms that everything looks good, you will want to turn on the connections. Be sure to review the connection reports to make sure that everything is working as intended.
Also, make sure to turn on the contact automation for partners. This will make sure that the contacts are kept up to date as people move into and out of admin roles.
You have now completed the onboarding process for a UKG to HubSpot partner. From here on out, the partner will be able to go in and edit the connections as needed.
Be sure to keep an eye out on connection reports to make sure that they don't break anything.
